How to decide how much to charge for online coaching

Many coaches set a price by looking at what others charge and going a little lower. That tells you what someone else needs to earn, not what you do. The calculator works the other way round: it starts from your income goal and your time.

  • Income you want. What coaching should pay you each month, before tax.
  • Business costs. Software, insurance, payment fees and anything you spend to find clients.
  • Hours you can coach. Only the hours you can really give to client work each week.
  • Time per client. Check-ins, plan updates, messages and calls, averaged over a week. Time it for a few clients; it's easy to guess low.

Time per client is the input with the most leverage. Halve it, and the same hours carry twice the clients, so you can charge less, earn more, or both. For how to package and present your price, read how to price online coaching.

Where the time per client goes

For most online coaches the week is building and adjusting plans, reading check-ins and answering messages. CoachPilot puts those in one place: a meal planner, a workout planner, scheduled check-ins and messaging, with an AI assistant on the Ultimate plan that drafts plans for you to review. See the pricing page for what it costs.

Questions, answered

It adds the monthly income you want to your monthly business costs, then divides that by the number of clients your coaching hours can carry. The number of clients is your weekly coaching hours divided by the time each client takes per week.

Enough that a full roster pays the income you want plus your costs, at the hours you can actually work. That's the number this calculator gives you. If it looks higher than you can sell, the levers are the same three inputs: take on more hours, spend less time per client, or lower the income goal.

Yes. Enter the hours you can train clients each week and the time each client takes, including sessions. The result is a monthly price per client; divide it by their sessions per month for a per-session rate.

The result shows the price you'd need at 100%, 75% and 50% of your capacity. Pricing for a roster that's three-quarters full is a safer starting point than assuming every spot is taken.
