These Terms of Service ("Terms") govern your access to and use of the CoachPilot website (coachplt.com) and the CoachPilot coaching platform (together, the "Service"), operated by CoachPilot ("we," "us," or "our"), based in Bel Air, Maryland. By creating an account, submitting a form on our website, or otherwise using the Service, you agree to these Terms. If you do not agree, do not use the Service.

1. The Service

CoachPilot is an AI-powered platform that helps fitness and wellness coaches generate meal plans and workout programs, manage client relationships, and communicate with clients. Some features rely on AI-generated content (such as meal or workout suggestions); this content is intended to support a coach's own professional judgment, not to replace it.

2. Accounts and Eligibility

You must be at least 18 years old and able to form a binding contract to create a CoachPilot account. You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account. Notify us promptly at [email protected] if you suspect unauthorized use of your account.

3. Coach Responsibilities

If you use CoachPilot as a coach, you are solely responsible for the professional services you provide to your clients, including the accuracy and safety of any meal plan, workout plan, or advice you deliver, whether AI-assisted or not. You are responsible for obtaining any consents required to enter your clients' health, dietary, or fitness information into the platform, and for complying with any professional, licensing, or data protection obligations that apply to your coaching practice. CoachPilot is a software tool; it does not provide medical, nutritional, or professional coaching advice directly to clients.

4. Subscriptions and Payment

Paid plans are billed on a recurring basis through our payment processor, Paddle, at the pricing and interval shown at checkout. Prices may change with reasonable advance notice. Unless otherwise stated, subscriptions renew automatically until cancelled, and fees already paid are non-refundable except where required by law.

5. Acceptable Use

You agree not to:

  • Use the Service for any unlawful purpose or in violation of any applicable regulation.
  • Upload content you do not have the right to share, or that infringes another person's rights.
  • Attempt to interfere with, disrupt, or gain unauthorized access to the Service or its underlying infrastructure.
  • Use automated means to scrape or extract data from the Service without our written permission.
  • Misrepresent your identity or your relationship to a client when using the platform.

6. Intellectual Property

CoachPilot and its licensors own all rights, title, and interest in the Service, including its software, design, and branding. Coaches retain ownership of the content they create and upload (such as their own program templates), and grant us a limited license to host, process, and display that content solely to provide the Service.

7. Disclaimers

The Service, including any AI-generated meal or workout content, is provided "as is" and "as available," without warranties of any kind, express or implied. We do not warrant that AI-generated recommendations are complete, accurate, or appropriate for any individual's health or medical circumstances. Coaches and clients should exercise independent professional and personal judgment, including consulting a qualified medical professional where appropriate, before acting on any plan or recommendation generated through the Service.

8. Limitation of Liability

To the fullest extent permitted by law, CoachPilot will not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits, data, or goodwill, arising out of or related to your use of the Service. Our total liability for any claim relating to the Service will not exceed the amount you paid us in the twelve months before the claim arose.

9. Termination

You may cancel your account at any time. We may suspend or terminate access to the Service if you violate these Terms or if we reasonably believe your use poses a risk to CoachPilot, other users, or third parties.

10. Changes to These Terms

We may update these Terms from time to time. If we make material changes, we will update the "Last updated" date above and, where appropriate, notify account holders directly. Continued use of the Service after changes take effect constitutes acceptance of the updated Terms.

11. Governing Law

These Terms are governed by the laws of the State of Maryland, without regard to its conflict-of-laws principles, unless otherwise required by the mandatory consumer-protection laws of your place of residence.
